Diary for bookings?

Discussions : Questions and answers : Diary for bookings?

JB wrote:

Hi Everyone,

Just wondering if you keep a separate diary for your PP business. What do you use to plan & record your bookings?

jewellerychick replied:

Hi Kooka,

I use a diary to keep a record of all my party bookings, odometer readings, party sales, attendance, delivery date etc.  I find it easy to use to one book rather than having 3 or 4 for different things....

jewellerychick replied:

oops a calendar is a MUST in the diary....to refer to for future bookings

Kirstin replied:

I use a single diary for personal/school/family and business commitments; I'm scared of double booking if I don't have it all in one place!

I keep my financial records seperately.

FACJeweller replied:

Hi Kooka,

I generally use the one diary.
It has a 7 day spread, so that it is easier to see the whole week when you open it up for a hostess to look at the dates available for when she wants to book her show.

I generally put all the dates into my diary that concern me in regards to family etc.

I used to have two diary's but found that it was extra to carry & would double book

myself if I didn't have both diary's with me.

Hope that helps :)

Hi

I use just one diary which has everything in it so I don;t overbook. I also have a calendar at my desk which has the whole month on 1 page and I write all my bookings on there so I know at a glance whether I am booked that day when someone calls.

Just easier for me

I also use one diary for all of my events, personal & business to avoid doubling up. This has generated some challenges when opening my diary, in that, personal diary matters were able to be seen. Plus if there was a particular day in the week which I did not want to party plan (say Sundays reserved  for family days), some prospective Hostessess would argue that was the one and only day they would hold a party.

Another successful PP plan colleague offered me this suggestion, which I now use and find it works great for me. I print up 4 sheets (1 sheet per week representing 4 weeks). Each sheet contains my availability dates for that particular week. for eg week ending Sunday 4 May.

Monday 28 April                                     Wednesday 30 April etc.

Obviously, I transmit these details onto my diary to avoid double ups. But it does prevent unnecessary eyes onto personal matters. If by chance you are having a slow time with your business, the prospective hostess cannot question why you may have gaps in your diary. My experiences have told me that Hostesses like to book with successful consultants, so don't give them the opportunity to question your business.

And why 4 sheets (or 4 weeks), so that I can make sure I can only book within 28 days of the party. Another learning curve for me was, booking too far in advance, you tend to have more cancellations as the prospective Hostess tends to forget the reason why she booked in the first place.

It may not work for your, but I have found it successful.

Happy partying Cris

Some great ideas Cris thanks....

May try that one as it does avoid all eyes on your diary...and bookings need to be made in that month...

Thanks..Have a fab day

just the one diary here too !!!

JB replied:

Thanks everyone...was wondering how best to deal with the diary.

chocolateaddict replied:

Does anyone keep an electronic diary?? I mean like a PDA, blackberry etc??
I am thinking of upgrading my mobile phone to a blackberry so I can keep all my appointments in that.

I know a business woman that does that but her clients go to her so she only needs to put in the time and persons name.

I just get sick of lugging my diary everywhere "just in case" someone rings to make a booking while I am out.

If you do  use an electronic form, which one?? I have little knowledge in that stuff.

FACJeweller replied:

Hi chocolateaddict,

I wouldn't mind knowing this too.  I have been thinking about getting a PDA for about a month now,

but not too sure which ones would be the most ideal for us PP's.

Which one are you leaning more towards?
