For the newies to PP, hostess coaching is basically your phone calls in the lead up to a party. I make 3 hostess coaching calls, 2 before hand and one after the party.
The first call is a day or 2 after the booking is made, to confirm the date and offer the hostess suggestions as to a guest list and let her know her benefits.
The 2nd call is a week before the party, to ensure it's going ahead and find out how many guests to expect (usually 1/2 that have rsvp'd yes will actually turn up) to allow for enough catalogues, and to encourage the hostess to contact all her guests again, ask them to bring a friend and to lift her excitement again, especially if it's been a while since the booking was made.
The call after the party is to remind her of when payment is due, let her know again how much she got for free, and tell her that we can accept any orders or bookings up til payment is due and still benefit her!
What are the hostess guidelines everyone else follows? I'd be very interested to see how much this varies!

HI Zammy.
I have phone phobia and hate making phonecalls unless necessary.
I book them at a show, get them excited there and then I send a hostess pack and that is just invites and hostess letter.
i do all my coaching through this letter.
A couple of days later they always contact me with their jewellery selection and I love that because they contact me first.
I then reply back with a thankyou and look forward to seeing you and spoiling you. They have planned their show and are excited.. only in extreme circumstances will they postpone or cancel.
I then try and rebook the hostess for our next big promotion so i do not lose touch and then i send her a nice thankyou card withe everyones purchases and what benefits she received on the day.

You must be very lucky to have your hostesses call you, it's very rare for me to have a hostess contact me, even when I have requested she do so.

Firstly, Marina I cant believe you have a phone phobia! Just goes to show that your business can be successful no matter what. But then one leading consultants of ours built a multi-million dollar perfume business with no sense of smell!
I use a checklist with my hostess coaching and encourage my team to do the same. It covers the date, time and range of products. If the hostess pack is given when booked or if they are going to do this in person at the new hostesses home. We use reserved cards which get posted out confirming the above details and a note for them to call if they need to change any of the details. I give a reminder call 1 week before to reignite their excitement etc - more invites.... Then another call 1-2 days before - remind guests not to wear perfume etc this allows the hostess to check who is coming as well without seeming to be pushy to her friends.
After the party I send a thank you note. Always deliver my orders in person - continue to build the relationship because more customers are driven away through lack of customers service than dissatisfaction with products. And finally I note down when I need to do their service calls.
